Client events are held to make an impression, and the venue is the largest part of the impression that is not the people. A stone hearth and sixty acres reads differently from a carpeted room with a projector screen and a view of a car park.
It is also, practically, easier to talk in. A room with hard surfaces and a high ceiling carries sound badly; one with timber and soft furnishings does not, and a client evening is entirely conversation.
Launches and showcases
Product launches and trade showcases need floor space more than seats — room to set out what you are showing and for people to move around it without queueing. Three hundred seats' worth of floor, cleared, is a great deal of room for a hundred and fifty standing guests.
